Consolidated Freight from China to Central Asia: How It Works

How consolidated freight from China to Kazakhstan, Uzbekistan and Turkmenistan works: shared groupage truck or your own consolidation, warehouse receiving, load planning, documents and tracking.

Consolidation warehouse with pallets, preparing consolidated freight from China to Central Asia

Consolidated freight from China is a way to move a shipment that does not fill a whole truck to Kazakhstan, Uzbekistan or Turkmenistan, or to combine goods from several Chinese factories in one vehicle. For an importer it means buying smaller volumes from different suppliers without paying for empty space in the trailer.

The model has a cost: the cargo passes through a warehouse, where it is counted, handled and cleared together with other consignments. If collection, documents and the loading order are not planned, one late factory can hold up the whole truck. This guide explains how consolidation works, how the load is planned, which documents to collect and how to track the cargo on the road.

Two options: shared groupage truck or your own consolidation

In practice, "consolidated cargo" can mean two different services. Agree with your forwarder at the start which one you are buying.

FeatureShared groupage truck (LTL)Consolidating your own suppliers (FTL)
What is in the trailerYour pallets together with other customers' cargoOnly your consignments from several factories
When it fitsA small shipment of a few pallets or cubic metresTotal volume close to a full truck
Departure dateWhen the groupage truck is full, on its scheduleWhen your last supplier is ready
CustomsShared truck, each consignee has its own document setOne consignee, one document set

If your volume grows steadily, it makes sense to move from a shared truck to your own consolidated truck: full truckload (FTL) terms are usually better value once the trailer is well filled.

How consolidated freight from China works: step by step

  1. Supplier list. The importer gives the forwarder each factory's contact, loading city, expected ready date, weight, volume and number of packages.
  2. Collection. Goods are either picked up from the factories or delivered by the suppliers to the consolidation warehouse. In the second case each factory must know the address, receiving hours and marking rules.
  3. Receiving at the warehouse. Piece count, weighing, measuring, packaging check and photos. Differences from the packing list are recorded at once, while the supplier can still be reached.
  4. Load planning. The forwarder arranges consignments by weight, volume and unloading order.
  5. Documents. Invoices and packing lists are checked, Chinese export clearance is done and the CMR consignment note is issued.
  6. Departure and border. The truck crosses at Khorgos or Dostyk and continues to the destination country.
  7. Customs and delivery to the consignee's warehouse.

Load planning: weight, volume and compatibility

A standard curtain-sided semi-trailer takes up to about 33 euro pallets; the exact number depends on pallet sizes and axle loads. Our guide on how many pallets fit in a truck covers this in detail. In a consolidated truck it is not only about fitting everything in, but about placing it correctly:

  • Heavy goods low and near the centre – metal, tiles, machinery. Light, bulky goods on top or separately.
  • Unloading order. If there are several consignees, the first one's goods are loaded nearest the doors.
  • Compatibility. Food is not loaded next to strong-smelling chemicals, and fragile items not next to heavy ones without separators.
  • ADR dangerous goods must be declared in advance: mixed loading with other goods is restricted by the rules.
  • Stackability. If a pallet cannot be double-stacked, say so in the request – it will take more space.

Wrong weight and volume figures are the main reason for a recalculated rate or part of the cargo being moved to the next truck. Check suppliers' figures at receiving rather than trusting the first email.

Where to consolidate: near the factories or near the border

Consolidated freight from China can be built in two places. The first is a warehouse close to production, for example in the industrial regions of eastern and southern China. The truck is loaded once and runs to the border without reloading, but all suppliers must be ready by the same date.

The second option is consolidation closer to the border, in Xinjiang. Factories send their goods by domestic Chinese transport, and the truck is built near the crossing. This helps when suppliers are spread across provinces and ready at different times, but it adds a domestic leg and one more handling. The choice depends on factory locations, deadlines and how sensitive the goods are, and is best discussed with the forwarder before you place orders.

Either way, appoint one person to coordinate suppliers. They confirm that each consignment is ready, pass on weight and volume data and tell the forwarder about changes. That keeps the shipment on plan instead of waiting for factories at random.

Marking and packing

When goods from several factories travel in one truck, every package must clearly show which order it belongs to. Ask suppliers to put the order number, consignee name, package number and total number of packages (for example 12/40) on cartons and pallets.

Packaging must survive handling at the warehouse and possibly at the border: cartons on pallets under stretch film, corner protection for fragile items, moisture protection for textiles and paper. On a long road route through Kazakhstan this matters, because the cargo crosses thousands of kilometres and several climate zones.

Documents for consolidated cargo

Each consignment travels with its own document set. A typical set is:

  • commercial invoice and packing list for each supplier, with matching weights and package counts;
  • Chinese export declaration (filed by the supplier or the forwarder);
  • CMR consignment note;
  • EAEU certificates or declarations of conformity and other permits for the product group;
  • certificate of origin, if the consignee needs one.

Importers in Kazakhstan or Uzbekistan should agree HS codes with their customs broker in advance. In a shared truck all consignments are cleared together, and a mistake in one can delay the release of the others. Confirm current document requirements with the broker in the destination country before loading.

Tracking the cargo on the road

Consolidation raises more questions for the buyer: has every factory delivered, what was loaded, where is the truck now? Good practice is photos and videos at each stage: receiving, loading, sealing and border crossing.

BNK provides a tracking link for every vehicle, with documents, photos and videos in one place. The importer can see that their own goods were loaded and prepare customs clearance in advance.

Common mistakes

  • A supplier delivers later than promised and the truck waits at the warehouse.
  • The packing list does not match reality: a different number of packages or weight.
  • Cartons have no order marking and get mixed up with other consignments.
  • One consignment contains goods that need a certificate nobody knew about.
  • Dangerous goods (batteries, aerosols, chemicals) are not declared and are refused at loading.

Frequently asked questions

At what volume is a dedicated truck better value?

There is no single threshold; it depends on the rate on the day, weight and volume. As a rule, once your cargo takes more than half the trailer, compare a groupage truck with a dedicated one.

Can goods from different Chinese cities go in one truck?

Yes. Consignments are either collected from factories or delivered by suppliers to the consolidation warehouse. The further apart the factories are, the earlier collection must start.

Who handles export documents in China?

Usually the supplier through its own broker; if the factory does not do this, the forwarder can arrange it. Agree this before you place the order.

Can dangerous goods be added to consolidated freight from China?

Only if the hazard class is declared in advance and the forwarder confirms that mixed loading is allowed. Otherwise the cargo may be refused.
